This Privacy Policy describes how we collect, use, store, and protect personal and construction site information when you interact with the SnapToReport platform — including our website at snaptoreport.com, our web dashboard, our WhatsApp & SMS intake bots, and our upcoming mobile applications for iOS and Android.

This policy applies to:

• General Contractors & Field Staff submitting site updates via WhatsApp, SMS, or mobile app
• Owner-Builders & Property Owners monitoring project logs and inspection alerts
• Clients & Stakeholders receiving automated daily/weekly site reports

2. Information We Collect

Account & Registration Information

When you create a SnapToReport account, we collect your name, email address, company name, phone number, and password/auth tokens (via Google OAuth or Magic Link authentication).

We use collected data solely to deliver and optimize the SnapToReport service:

• Generating structured AI daily site reports, weekly digests, and client PDF summaries.
• Identifying construction milestones (e.g. MEP rough-in, foundation, framing) and issuing Inspection-Aware alerts.
• Delivering transactional SMS and WhatsApp notifications (report share links, magic link logins, verification codes).
• Providing customer support and investigating system errors or technical bugs.
• Training and refining internal AI parsing models using strictly anonymized and aggregated data.

4. Data Sharing & Third Parties

Call Me Techie LLC shares data only with vetted infrastructure providers essential for operating SnapToReport:

• OpenAI: Processes image uploads, voice transcripts, and message text via strict zero-retention API agreements to structure site reports.
• Supabase: Encrypted PostgreSQL database hosting and user authentication infrastructure.
• Twilio / WhatsApp Business API: Messaging pipeline for delivering SMS notifications and processing WhatsApp site updates.
• Stripe: Payment processing for paid subscription plans (SnapToReport does not store raw credit card numbers).
• Vercel & AWS: Secure web hosting, CDN delivery, and media asset storage (S3).

5. WhatsApp & SMS Messaging Data

When site workers or contractors send updates via WhatsApp or SMS:

• Phone numbers are linked securely to the designated construction project.
• Text and audio content is processed in real time to update project logs and is encrypted in our database.
• SMS communications are purely transactional (e.g. daily report readiness, inspection alerts, authentication links).
• Users can opt out of SMS notifications at any time by replying STOP or texting HELP for assistance.

6. Mobile App Permissions & Data

For users accessing SnapToReport via our mobile applications (iOS & Android), the app may request explicit device permissions:

• Camera & Photo Library: To capture and upload site progress photos and jobsite evidence directly to project logs.
• Microphone: To record audio notes and voice updates for automated AI transcription.
• Push Notifications: To deliver real-time inspection milestone alerts and daily report completion notices.

You can grant or revoke these permissions at any time via your mobile device settings.

7. AI Processing (GPT-4o & Vision)

SnapToReport uses OpenAI vision and multimodal AI models to convert unstructured site chatter into organized reports. All AI data processing is governed by commercial enterprise agreements ensuring that your customer data and site photos are NOT used to train public OpenAI models.

We implement industry-standard administrative, physical, and technical safeguards — including TLS 1.3 encryption for data in transit, AES-256 database encryption at rest, role-based project permission levels, and secure AWS/Supabase cloud infrastructure.

You hold the following rights regarding your personal and project data:

• Access & Export: Request a complete export of all generated daily reports, site photos, and project logs.
• Correction & Deletion: Request correction or permanent deletion of your account and project data.
• Opt-Out: Unsubscribe from non-essential communications or text messaging notifications.

11. Children's Privacy

SnapToReport is a professional construction management service and is not directed to individuals under 18 years of age. We do not knowingly collect information from minors.

12. Policy Updates

Call Me Techie LLC may update this Privacy Policy periodically. We will notify active account holders of material updates via email or prominent in-app notification at least 14 days prior to implementation.
